Your account and the vehicle unit

How do I create my account on the platform?

There is no public sign-up: you cannot create an account by yourself. The account is created for you on the platform and you are given an email and a password to sign in with.

See it step by step in the manual
How do I sign in to the platform?

Go to the internet address of your platform, type your email and your password and click Sign in. If you tick Remember, the browser will not ask you again on that computer.

See it step by step in the manual
What account types are available?

Inside the platform there are, among others, these account types: «User», which only sees the vehicles it is given; and «Manager», which can also create accounts below its own and share vehicles out to them. The types you get when creating or editing an account are the ones your own account is authorised for: if one does not appear in the list, your account does not handle it.

What account types are available?

Inside the platform there are these account types: «User», which only sees the vehicles it is given; «Manager», which can also create accounts below its own and share vehicles out to them; and «Reseller», which resells the service and therefore has to keep a vehicle limit. The types you get when creating or editing an account are the ones your own account is authorised for: if one does not appear in the list, your account does not handle it.

See it step by step in the manual
What is the IMEI and where do I find it?

The IMEI is the number that identifies the device, like its ID card. It usually has 15 digits and is printed on a sticker on the device itself and on its box. It is what you have to type into the platform so it knows which device the incoming positions belong to.

Careful

On some devices, and on phones used as trackers, the IMEI is not used but an identifier you make up yourself. The field accepts both.

See it step by step in the manual
How do I add my first GPS device?

It is done from the vehicle list: click Objects in the top bar and then the blue + button (Add device) above the left panel. Type the name, the IMEI and the data requested, and save. Then the device has to be set to point at your platform: at the top right, press Help (on the top bar): «Programming Commands» has the exact commands for each brand, already with the connection domain, and «Connection ports» has the port for your model.

See it step by step in the manual
What do I do if I forgot my password?

On the sign-in screen click «Cannot access?» and follow the steps. If the email does not arrive within a few minutes, look in your spam folder and, if it still does not arrive, ask support to change it for you.

Which is the right port for my GPS device?

At the top right, press Help (on the top bar) and open «Connection ports». Type your device brand or model and you get the port it uses (for example, GT06: 6023). Set the device up with the connection domain server.gpssoftwarenumberone.com (or gps.gpssoftwarenumberone.com) and that port. If your model is not on the list, ask support.

Careful

The port changes with the device model, because each family of devices speaks a different language. And always use the domain, never a bare IP: if the server changes, the domain still leads to the right place.

Which server IP must I set on my device?

The connection domain is server.gpssoftwarenumberone.com or gps.gpssoftwarenumberone.com (they are the same address; use whichever is easier for you to recognize), and it is the same for every device regardless of the platform. Always configure the device with one of these domains instead of a fixed IP address: if the server address ever changes for maintenance or improvements, a device using the domain keeps connecting on its own, while one set up with a fixed IP stops reporting the day that address changes. The port depends on your device model: you find it under Help (on the top bar) → «Connection ports».

What happens if the main server fails or there is an emergency?

As part of our commitment to service continuity, we have an automatic backup system that keeps the platform running even during a serious emergency on the main server — physical damage, a fire, a natural disaster or any other outside event beyond our control that affects the infrastructure. This is a premium solution that no other provider of this kind of platform offers, and it reflects our commitment to keeping your operation running at all times. This is what happens in an emergency of that kind:

  1. Vehicles set up with the connection DOMAIN carry on transmitting, with a short pause. If the GPS device points at the service connection domain and not at a fixed IP address, the system detects the failure and switches the backup on by itself. That takes up to 10 minutes in total: a few minutes to confirm the failure is real (and not a passing hiccup) and a few more for the reconnection to complete. After that, the device reports again on its own, with nothing for you or your customers to do.
  2. Accounts with their own domain carry on working. During the emergency you can keep using the platform, although access might temporarily not be through that own domain while it is fully restored; in that case you come in through the alternative address your provider will give you.
  3. In parallel, work goes on to bring up a new main server so the service gets back to normal as soon as possible. The backup system is meant to hold the operation up during that time, not to replace it permanently.
Careful

What does not recover on its own: devices set up with a fixed IP address instead of the domain do not reconnect automatically during an emergency and have to be reprogrammed with the connection domain; and while the contingency lasts the information shown may lag slightly, as the backup system settles. Recommendation: if you or your customers still have devices on a fixed IP, update them to use the connection domain. Your provider tells you which one it is.

How do I set the APN on my GPS device?

The APN is the SIM card's entry point to the internet and it is given by the mobile operator, not by the platform. It is sent to the device with the command for its brand: at the top right, press Help (on the top bar) and open «Programming Commands»; the exact command is there and you only have to replace the APN and, if required, the user and the password your operator gives you.

Why does my device not show on the map after setting it up?

Check in this order: that the IMEI you typed into the platform is exactly the device one; that the device is pointing at the connection domain (server.gpssoftwarenumberone.com or gps.gpssoftwarenumberone.com) and at the port for your model (it is under Help (on the top bar) → «Connection ports»); that the SIM has data and credit; and that the APN is the operator one. To find out whether the server is receiving anything from that device, open History, choose the vehicle and today's dates, and look at the Data log tab: if there is no row there, nothing has arrived.

See it step by step in the manual
Can I track my mobile phone with the platform?

Yes. The phone is registered as one more vehicle, giving it an identifier you make up instead of the IMEI, and then the tracking app of your platform is installed on the phone and you sign in with that same identifier. From then on the phone sends its position like any device.

How do I delete a device from the platform?

From the administration: click ADMIN in the top bar, go to Objects, find the vehicle and use the Actions column of its row, where Delete is. You can also delete several at once by ticking them and using Delete selected, in the menu above the tick column.

Careful

Deleting a vehicle also takes its history with it and cannot be undone. If you only want it to stop working, use Deactivate instead of Delete.

See it step by step in the manual
How do I change the name or IMEI of a device?

In the left panel, click the last icon in the vehicle row (it opens the vehicle menu) and choose Edit. Its file opens on the Main tab, and there you change the name, the identifier and the rest of the data. Save when you finish.

See it step by step in the manual
What does the colour of the vehicle icon on the map mean?

There are four states: green, Moving, the vehicle is on the move; yellow, Idling, the engine is running but standing still; red, Engine off, the device reports but the engine is off; and grey, No signal, nothing has arrived from that device for a while.

Why must I set the time zone to UTC+0?

Because the platform stores everything in universal time and then converts it to the time you chose in your account. If the device sends its own local time, the route and the reports will show times that are wrong. To check whether a device clock is right, open the Data log and compare the Time and Server time columns: if they match, the clock is right.

See it step by step in the manual
The time the GPS shows is not right, what should I check?

It is hardly ever the device: the most common cause is the time zone of your account. Check it in this order and in two minutes you will know which of the three things it is.

  1. First, the time zone of YOUR ACCOUNT: click Settings in the top bar (on the right), Main tab, Time zone field. The platform stores everything in universal time and converts it to the zone you have set there; if that zone is wrong, ALL your vehicles are shown at the wrong time, even if the devices are perfect.
  2. If your time zone is already right, check whether the device is really off: History, choose the vehicle and the dates, click Show history and open the Data log tab. Compare the first two columns: Time is what the device itself says and Server time is when that message arrived. If in every row they match or differ by one or two seconds, the device clock is fine and there is nothing to fix.
  3. If every row shows the same difference and it is in whole hours (for example exactly five hours), that device comes with another time zone. It is fixed like this: open the vehicle menu, Edit, Advanced tab, «Time adjustment» field. It comes as Default and the list runs from -14:00 to +14:00 in quarters of an hour: choose the offset it has too much or too little and save. That corrects ONLY that vehicle, without touching the device or the time of the others.
Careful

If the Time column stays stuck on the same minute while Server time keeps moving, that is not a time problem: it is a frozen position, the device connects but can no longer get a new fix. The time adjustment does not fix it; the antenna or the device itself has to be looked at.

See it step by step in the manual
Why is a vehicle's unit not working and how do I see the cause?

The platform tells you the vehicle has no signal, but not why. That is what FleetWatch is for: it does look for the cause and tells you whether it is the unit, the SIM, the coverage or the installation.

  1. Click the application launcher (on the top bar) and then FleetWatch. You go straight in, without typing a password again.
  2. In the left-hand menu, inside Diagnostics, click Causes. A table appears with the cause, how many vehicles have it, how confident that diagnosis is and what each one means.
  3. Under Units you have the list of your vehicles with the status of each one, and under «Failing over and over» the ones that keep having trouble. That tells you whether it is a single device or something general.
  4. If the cause is the SIM, FleetWatch checks it against what the carrier says. If there is not enough data it says so: «no clear cause» appears instead of inventing a reason.
Careful

FleetWatch only sees the vehicles of the account you signed in with: a manager sees their own and none from another customer. If it does not appear in your application menu, it is not enabled on your account.

See it step by step in the manual
How do I change the way vehicles look in the list?

Go to ADMIN, Customisation, and scroll down to «Vehicle card». There are four ways and you pick one: Standard, Full, Compact and Operational. The screen has a preview that changes as you choose, and once you save, the list shows the new look right away.

See it step by step in the manual
What is the Operational card?

It is one of the four ways of seeing the list. It leaves one single line per vehicle and puts the sensors in fixed columns: each sensor always in the same place, on every row. It is meant for reading a column downwards and seeing at a glance which vehicles in the fleet have that data and which do not. It fits up to twelve columns.

See it step by step in the manual
Why are some icons in the list grey?

Grey means that vehicle does not have that data. The column is not removed, so the rest does not shift: it stays in place, switched off. That way you can run down a column and see in one go which vehicles carry that sensor and which do not. As soon as the vehicle has the data, the icon turns colour.

See it step by step in the manual
What are the black icons above the list?

They are the label for each column. The same icons are repeated above the list, in black and drawn as outlines, each one right above its column, so you know what each one means. Only the icon of a service you have switched on in «Visible services» appears: if you switch one off, its column and its icon above disappear together. When you scroll the list, that row stays fixed.

See it step by step in the manual
How do I choose which sensors show on the card?

In ADMIN, Customisation, «Vehicle card», below the types there is «Visible services» with one switch for each: Fuel, Odometer, Battery, Engine, Maintenance, GSM signal, Driver, Temperature, Trailer, Camera, Engine cut and On route. Switch on the ones you want and save.

Careful

The Compact card only fits five icons: if you switch on more, the extra ones do not show and the switch itself warns you with a «no room» label. The Operational card fits all twelve.

See it step by step in the manual
Why do I see fewer icons on my phone than on the computer?

Because on a phone there is not enough width for the twelve columns without cutting the vehicle name. There, the first five are shown and the row of icons above is not. On a computer you see every column you have switched on.

See it step by step in the manual
Can I group the vehicles by company in Objects?

Yes. In Objects click the three dots of the «Ungrouped» line: the «Add» window opens. In Title type the company name, in Devices tick its vehicles (at least one) and click Save. The list is split by company, each with its own line that folds and unfolds. It works the same for customers, branches or routes.

See it step by step in the manual
How do I move a vehicle to another group or company?

In Objects click the three dots of the company that will receive it and its «Edit» window opens. In Devices the vehicle appears under the name of the group it is in now: tick it and click Save. A vehicle is only in one group at a time, so it leaves the previous one. If you untick a vehicle in that window, it goes back to «Ungrouped». You can also do it from the vehicle: Edit > Advanced tab > Group.

See it step by step in the manual
What is the difference between the groups in Objects and the Companies in ADMIN?

The groups in Objects only sort your vehicle list: each user makes their own and they do not change what others see. The Companies in ADMIN > Content > Companies are for something else: every user of the same company receives that company's vehicles on their own, including users created later. If what you want is your list sorted by company, use the groups in Objects.

See it step by step in the manual
How do I delete or rename a group in Objects?

To rename it: in Objects click the three dots of the group, correct the Title and click Save. To delete it: Setup (the last button of the bar on the left) > Object groups tab > the X in its row > Yes. Deleting a group does not delete any vehicle: they go back to «Ungrouped».

See it step by step in the manual
How do I make every user of a company receive its vehicles automatically?

With the Companies in ADMIN. In ADMIN > Content > Companies create the company and, in its form, tick its vehicles in Devices and click Save. Then create each user in ADMIN > Users: in the Client tab tick Company and choose the company. That user receives all the company's vehicles on their own, and the vehicles you tick in the company later reach all its users on their own. Removing a vehicle from the company does not take it away from anyone: that is done by hand.

See it step by step in the manual
How do I see which users belong to a company?

In ADMIN > Users, above the list, open the Company drop-down and choose the company: the list keeps only the users of that company. To see them all again, choose the first option of the drop-down. Only the companies and users of your account appear.

See it step by step in the manual
When creating a user I get «That «Email» is already in use: type a different one.» What do I do?

There is already an account with that email. Type another email for the new user. If that person already has an account, do not create another one: open it in ADMIN > Users and, in the Client tab, choose its Company; that way they receive the company's vehicles.

See it step by step in the manual
I created a user with «Autogenerate»: what is the password?

The one that appeared in the «Save this password now» window when you clicked Save. It is shown only at that moment and cannot be seen again, which is why it has a Copy button. If you did not copy it, edit the user in ADMIN > Users and set a new password.

See it step by step in the manual
When creating a unit I get «This IMEI is already registered to another account»: what do I do?

The unit was not created because that IMEI is already in another account. First check that it is typed correctly, digit by digit. If it is right, contact support with the IMEI so they move it to your account: trying again does not fix it. If your account is a reseller account, the notice tells you to ask your distributor.

How do I send an idea, a suggestion or a problem to my platform?

Through Ideas and Suggestions, in the application launcher on the top bar. Choose what you want to tell (New idea, New feature request, Improvement suggestion, Report a problem, Comment about my experience, Something I liked or Other), write the Title and the Detailed description, and click Send suggestion. In My suggestions you see how each one is going.

How do I see all the information of a vehicle without opening the panels below?

Click the vehicle on the map: its balloon opens. At the top right of the balloon, click the See all arrow and the balloon shows everything about the device, sorted into Vehículo, Sensores, Posición (coordinates, speed, altitude, angle) and Equipo (driver, model, plate, protocol); these block titles come out in Spanish.

See it step by step in the manual
How do I know which device I have, which protocol it speaks and which port to connect it to?

With the IMEI. Click Help (in the top bar) and open «IMEI lookup». Type the 15 digits on the device label and click Look up: you get the likely brand and model, the protocol and the platform port, and for GT06 and Teltonika the example commands. You can also type the IMEI to Luna. If the tool does not know the IMEI, it tells you: then look up the brand or model in «Connection ports» or write to support.

See it step by step in the manual
Which port do I use for a JT808 (huabao) device?

JT808, JT/T 808 and huabao are the same protocol. Use port 6015 (huabao) first; if the device does not report within 5 minutes, switch it to 6252 (jt808). On JT808 the device ID is usually the 12-digit terminal number, which is not always the IMEI: register it exactly as the device shows it. In Help > «Connection ports» you find it by searching jt808, JT/T 808, 808 or huabao.

Alerts, zones and events

How do I create a speeding alert?

Click Alerts in the top bar and then the + button in that window. A form opens with seven tabs. In the first one, Devices, give it a name and tick the vehicles. In Type choose Overspeed and type the maximum speed. In Notifications tick how you want to be told. Click Save.

See it step by step in the manual
How do I get alerts on my mobile phone?

When creating or editing the alert, go to the Notifications tab and tick «Mobile app push notification». For them to arrive you need the mobile app of your platform installed and to have signed in to it with your account.

See it step by step in the manual
How do I set alerts only during working hours?

In the alert form, Schedule tab: there you tick the days and the time ranges in which the alert must work. Outside of that, the alert does not warn you.

See it step by step in the manual
Can I get alerts by email?

Yes. In the Notifications tab tick «Email notification» and type the address. You can add several.

See it step by step in the manual
What is a Webhook alert and what is it for?

It is an alert that, instead of telling a person, tells another program: when it goes off, the platform calls an internet address you provide and sends it the data. It is used to connect the platform with your own system, for example billing or dispatch.

Careful

This has to be prepared by whoever runs your systems: you need an address ready to receive the call.

See it step by step in the manual
Can I make the alert run a command on the device?

Yes. The alert form has a tab called Command: there you choose the order that will be sent to the device when the alert goes off.

Careful

For the order to arrive the device has to be connected; if it is not, it is recorded as not delivered.

See it step by step in the manual
What is a geofence?

It is an area you draw on the map: a warehouse, a neighbourhood, a route. The platform knows when a vehicle enters or leaves that area and can tell you.

See it step by step in the manual
How do I create a geofence?

Click Geofences in the top bar and then the blue + button above the left panel. Give it a name, choose the type and the colour, and draw the shape by clicking on the map point by point; to close it, double click on the last point. Click Save.

See it step by step in the manual
How do I know when a vehicle enters or leaves an area?

By creating an alert of that type. In the Type tab of the alert form there are three options for this: Geofence In, Geofence Out and Geofence In/Out. Then, in the Geofences tab, you choose the areas.

See it step by step in the manual
Can I import geofences from another software?

In the Geofences screen of this version there is no option to import or export: what it offers is creating, editing, deleting, grouping and assigning vehicles to each area. If you need to bring them from another system, ask support.

See it step by step in the manual
How many geofences can I create?

There is no limit. You can create as many as you need and organise them in groups so you do not get lost when there are many.

See it step by step in the manual
What is a custom event?

It is a condition you define on the data the device sends, so the platform recognises it and can warn you: for example, that a value goes above a certain number, or that a signal switches to on.

See it step by step in the manual
How do I create a custom event?

It is two steps. First you define the event: click Settings in the top bar, go to the Events tab and use Add event; there you choose the protocol, type the name of the data field and the condition, and the message you want to see. Second, so that it also warns you, you have to create an alert of type Custom events that includes it.

Careful

The blue notice on that tab names an old menu (Tools → Alerts → Events). Today the alert is created from Alerts, in the top bar.

See it step by step in the manual
What kinds of conditions can I define?

In the event form you type the name of the data field (the parameter) and compare it with a value. The names of the fields must be copied exactly as they appear in the vehicle Data log.

See it step by step in the manual
What is the SETFLAG function used for in events?

It is for devices that pack several signals inside one number: it lets you keep only the small piece you care about instead of the whole number.

See it step by step in the manual
I created an event but I get no alert, what should I check?

Three things, in this order. One: the event on its own does not warn you, you need an alert of type Custom events that includes it. Two: the name of the data field has to be written exactly as it appears in the vehicle Data log; if one letter is off, it never fires and the platform does not report the mistake. Three: in the alert, check the Notifications tab (that you ticked some way of being told) and the Schedule tab (that it is not limited to certain hours).

See it step by step in the manual
What is the difference between GPRS and SMS when sending a command?

They are the only two ways of talking to the vehicle device. GPRS goes over the internet, through the same data connection the device uses to send its positions: it is the normal way, it goes out immediately and uses no text messages. SMS is a text message to the device SIM card: it is used when the device has no data, and for it to go out you need a message gateway contracted.

Careful

A GPS device cannot be sent an order over WhatsApp or by email: that is only for telling a person.

See it step by step in the manual
Can I schedule a command to go out on its own every day?

Yes. In Send command, Schedule tab, you add the order and choose how often it goes out: at an exact time, hourly, daily, once a week or once a month.

See it step by step in the manual
Can a command be sent automatically when an alert goes off?

Yes. The alert form has a tab called Command: tick Active and choose the order. From then on, every time the alert goes off, the order is sent to the vehicle by itself.

Careful

The list of orders is empty until the alert has a vehicle chosen: the platform needs to know which device it is in order to offer its commands.

See it step by step in the manual
Why do the commands still say SMS and not WhatsApp?

Because they are not the same thing. The warnings that reach a person do go out over WhatsApp, and that is why those screens are named that way. The orders sent to the vehicle device can only go by SMS (a message to its SIM card) or by GPRS (over the internet): a GPS device cannot read WhatsApp.

See it step by step in the manual
Every time an alert goes off a window opens: how do I remove it or make it close by itself?

In the Active alerts bell on the top bar. Click it, click the gear (Pop-up settings) and turn off Open on its own when an alert arrives: the window stops opening, but the alerts are still counted on the bell. If you prefer it to open and go away by itself, leave it on and choose in Closes on its own how long it stays: from 5 seconds to 5 minutes, As set on each alert, or Stays open.

See it step by step in the manual
Can I make a geofence along a road or a route?

Yes, with the Line (corridor) type. Click Geofences in the top bar and the blue + button. In Type choose Line (corridor): below it appears Corridor width (meters), where you set how many metres wide the strip along the road is. Mark the road on the map, type the Name and save it like any other geofence. In the list it shows the label LÍNEA (line) and its width, for example LÍNEA · 35 m. If a vehicle has already driven that way, you can also create it from its track with Save as geofence.

History, reports, sensors and maintenance

How do I see the trip history of a vehicle?

Click History in the top bar. In the left panel choose the vehicle, set the From date and the To date and click Show history. The route is drawn on the map and a bar with the chart and the data log appears below. There is also a shortcut: in the vehicle menu (the last icon in its row) there are Show history of the last hour, of today and of yesterday.

Careful

If the calendar stays open it covers the Show history button and the click does not get through: it looks as if the button were broken. Close it by clicking on an empty part of the panel.

See it step by step in the manual
How do I generate a trips and stops report?

Click Reports in the top bar. A window opens: give it a title, in Type choose Trips and stops, choose the Format, the period or the dates, tick the vehicles and click Generate. The report is downloaded.

Careful

The Generated reports tab does not keep the reports you already downloaded, but the ones you saved as a template.

See it step by step in the manual
Can I get automatic reports by email?

Yes. In the same report form there are fields to send it to an email address and to have it repeat Daily or Weekly.

See it step by step in the manual
Which report formats are available?

Seven: HTML, JSON, XLS, XLSX, PDF, PDF (Landscape) and CSV.

See it step by step in the manual
Can I generate a fuel consumption report?

Yes, as long as the vehicle has the fuel sensor set up. In the list of report types there are Fuel level, Fuel fillings and Fuel thefts.

Careful

Without the sensor set up the report comes out empty: it is not a fault of the report, there is simply no data to count.

See it step by step in the manual
How long is the data history kept?

At least 60 days. In the panel you can look up the trips of at least the last 60 days; some accounts have more. What is older is not deleted for good: it is archived. If you ask History or Reports for older dates, the panel tells you so with this message: «Trips older than N days (before …) are archived and are not shown here. If you need them, ask support.» (N is the number of days of your account). For those dates, write to support. If you want to keep something from a while ago at hand without asking for it, produce the report and download it before that deadline.

How do I set up the ignition sensor?

First find out what your device calls that field: open History, produce a route and look at the Data log tab; the names are in the columns on the right. Then, in the vehicle menu (the last icon in its row), go to Edit, Sensors tab, and use Add. Choose the engine ignition template, type the name of the field exactly as you copied it and set the on and off values. Save.

See it step by step in the manual
How do I know which parameters my device sends?

In the Data log. Produce a history for the vehicle and, in the bottom bar, switch to the Data log tab: the columns on the right are the data that device sends, with the exact name it gives them.

Careful

Copy the name exactly, in lower case and without changing anything: that is how it has to be written in sensors and in events.

See it step by step in the manual
How do I set up the fuel level sensor?

Like any other sensor: find in the Data log what your device calls the tank field, and then, in the vehicle menu (the last icon in its row) → Edit, Sensors tab, add one with the fuel tank template and that field name. If the device does not send litres but another measure, use the calibration.

See it step by step in the manual
What is fuel calibration?

It is the table that translates what the sensor sends into real litres. Many sensors do not send litres but a number of their own; the calibration says how many litres each number stands for.

See it step by step in the manual
What is the ACC ON/OFF sensor for?

It is used to know whether the vehicle is on or off: it is the ignition key signal, not the accelerator. With it the platform knows when the engine is running and standing still (idling) and can warn you about ignitions outside working hours.

See it step by step in the manual
How do I schedule an oil change reminder?

In the left panel click the vehicle; in the information panel, in the Reminders box, click Add reminder (it is also in the vehicle menu → Edit → Reminders tab). Give it a name, in «Expiration by» choose whether it falls due by odometer, by engine hours or by days, type the Interval (how often it is due) and in «Last reminder» the reading or the date of the last service, and save.

Careful

If the vehicle does not send the field you chose (odometer or engine hours), the reminder is saved but cannot warn you: first check in the Data log that the field arrives.

See it step by step in the manual
How do I record the last service done?

In that same reminder form, in the «Last reminder» field, type the odometer reading, the engine hours or the date on which it was done. From then on the platform counts the next one.

See it step by step in the manual
Can I get maintenance reminders by SMS?

Yes. The Add reminder form has a Mobile phone field: type the number there and the warning goes out as a text message, besides the email you put in Email. For the message to actually go out, your platform needs an SMS gateway connected in Settings (SMS gateway tab), and that is set up by support.

How does the Tasks module work?

Tasks is a tool of the top bar that comes switched off. To see it, click More (on the top bar) and tick Tasks: it appears in the bar. It is used to create tasks with a name, priority and dates, assign them to a vehicle and follow their status; they can also be imported. If Tasks is not in that list, your account does not have it: ask support for it.

Can I schedule maintenance by engine hours?

Yes. In the reminder form, in «Expiration by» choose engine hours, set in Interval how many hours between services and in «Last reminder» the engine hours of the last service.

Careful

For it to work, the device has to be sending the engine hours. If it does not send them, the reminder is useless.

How do I paint the track by speed?

On the History screen, in the left-hand panel, open Customization, find «Colour» and choose «By speed». The path is split into five colour bands and the legend appears on the map. You set the cuts: each row has a colour box and a figure you can change. If your vehicles never go above 60 km/h, lower the cuts to 20, 30, 40 and 50 and you will see differences where everything used to look the same.

Can I paint the track by something other than speed?

Yes. Under «Colour» you also have «Simple» (all one colour, for comparing two vehicles), «By trips» (a different colour for each run between two stops) and a mode for EVERY sensor that unit has: engine on, voltage, temperature, fuel, whatever it carries. When you pick a sensor, the five bands become values of that sensor.

What is «Pin this track»?

It leaves the track you are looking at nailed to the map. Afterwards you can fetch another vehicle, or other dates of the same one, and the previous track is NOT erased: it stays drawn in its own colour. Below appears the list of pinned tracks, each with its colour, its date and its mileage, and an × to remove it. It is for comparing two routes on the same map. Note: pinned tracks live while the tab is open; if you reload the page, they are gone.

Can I turn a track into a geofence?

Yes. Below the panel you have «Corridor width», where you say how many metres on each side of the path belong to the zone, and the «Save as geofence» button. The program asks you to confirm with the name it will create and the geofence sits in Geofences like any other: you can edit it, rename it and use it to be alerted when a vehicle leaves that route. It is saved as a corridor (a polygon following the path). If you would rather draw the strip along a road yourself, when creating a geofence choose the Line (corridor) type.

How many metres should I set for the corridor width?

It depends on how strict you want to be. 100 metres leaves room for overtaking, lane changes and small detours: that is reasonable on the open road. 30 metres is a narrow, strict route and will alert you on almost any deviation. You can create the geofence, try it for a few days and create it again with another width if it alerts too much or too little.

What is the track player for?

To relive the trip step by step. It has go to start, previous point, play or pause, next point and go to end, and you pick the speed from ×1 to ×6. At each point it shows the street address, the time, the speed, the altitude and the value of EVERY sensor on the unit: engine on, moving, engine hours, odometer, voltage, GSM signal. It is not just watching the vehicle move: it is seeing how it was at that instant.

Can I see the street the vehicle was driving on?

Yes. In the player, and also in the window that opens when you click a point on the track, you have «Show the street»: it shows the street photograph inside the panel itself, looking the way the vehicle was going. Beside it you have «View on map», which opens that point in Google Maps.

What is the difference between a stop and a parking?

You decide it with the «Parking from N minutes» box. Anything shorter than that number is drawn as a stop, with its number and how long it lasted; anything longer, as a parking, with a P. Changing that number repaints the marks instantly, without fetching the track again. Note: the «Stops» box further up is a different thing — it tells the server from how many minutes standing still it counts as a stop, and that one does require fetching the track again.

How do I see speedings on the map?

In the History panel, inside Customization, under «What is shown on the track» tick «Speeding» and type the speed in «Speeding over». One mark is placed for each stretch where it was exceeded, at the fastest point of that stretch, not one per point: that way a ten-minute speeding is a single mark and does not fill the map with pins.

Can I see refuellings and fuel drains on the track?

Yes, if the vehicle carries a fuel sensor. In that case, under «What is shown on the track» (inside Customization) «Refuels and drains» appears, with a «Refuel/drain from N litres» box where you set how much the level has to rise or fall for it to be marked. If the vehicle does not carry that sensor, that option does not appear: it would have nothing to draw.

Why don't all the mark buttons appear?

Because each option under «What is shown on the track» only appears if there is something to draw. «Refuels and drains» appears only if the unit has a tank sensor; «Events and alerts», only if that vehicle had alerts or events in those dates; and «Stops», only if there were stops. It is deliberate: an option that cannot draw anything only confuses.

How do I see how many kilometres each trip covered?

Below the buttons you have «Trips» with a number. Opening it gives one row per run between two stops, with its colour, the departure and arrival times, the duration and the kilometres. Clicking a trip takes the map to it. The kilometres come from the vehicle's own odometer when the unit carries one; if it does not, they are measured between the GPS points and the figure is prefixed with ≈ so you know it is a measurement.

What are the track annotations?

They are small labels with the time, spread along the line of the path, to grasp the timeline of the trip at a glance: where it was mid-morning, where it was at noon. They are switched on under «What is shown on the track» (inside Customization) by ticking «Time annotations». If two labels overlap, one hides itself so the map stays readable.

What is «Last N days» for if the shortcuts are already there?

The shortcuts are four fixed ones (Today, Yesterday, 7 days, 30 days). With «Last N …» you set whatever number you want and choose minutes, hours, days, weeks, months or years. The «include the current interval» box decides whether the period now running counts: with «2 weeks» ticked you get this one and the previous one; unticked, the two complete weeks before.

How long are the camera photos kept?

Up to seven days. After that, the system automatically deletes the vehicle's oldest photos. If you need to keep a particular photo, download it from the Cameras screen before the seven days are up.

What is Eco driving and what is it for?

It is the tab in the vehicle card that rates how it is driven: it counts harsh accelerations, brakings and turns and gives the vehicle a score from 0 to 100 for the last 7 days. It is in Objects > the vehicle menu > Edit > Eco driving. There you choose what the vehicle is (motorcycle, car, bus, truck…) and from what force a manoeuvre counts as harsh. It only appears if your plan has DriveIQ.

See it step by step in the manual
How do I rate my drivers?

First tell the system what each vehicle is: Objects > the vehicle menu > Edit > Eco driving > Vehicle type (it is saved as soon as you choose it). With that, each vehicle gets a score from 0 to 100 according to its harsh accelerations, brakings and turns per 100 km. To compare them all, run the RAG report (Reports > Type RAG) or, if you have DriveIQ, look at its driver ranking.

See it step by step in the manual
How do I get a driving report (harsh braking and acceleration)?

In the top bar click Reports, in Type choose RAG, tick the vehicles and the dates, choose PDF or XLSX in Format and click Generate: it downloads with each vehicle's distance, harsh accelerations and brakings and the score per 100 km, in green, yellow or red. If you have DriveIQ, the report with the same score as Eco driving is there: click Generate report (top right) or Reports in the menu, choose period, vehicles and formats (PDF, Excel, CSV or JSON) and click Generate report; and with Configure email delivery it reaches you by itself, daily, weekly or monthly.

See it step by step in the manual
Why does my vehicle have no driving score, or say «Not measured»?

The Eco driving tab gives the reason under «How this vehicle is doing». If it asks you to choose the type, the vehicle has no Vehicle type set. If it says it drove less than 10 km, it did not move enough that week. If it says «the device sent no positions in these 7 days», check whether the vehicle is connected. If it says «the route could not be read. Please try again later», it was a passing fault: open it again in a while. And if it always has 100 with 0 events, your unit may not report harsh manoeuvres: ask support.

See it step by step in the manual
Where is Eco driving? I cannot find it when editing

There are two reasons. It only appears when editing a vehicle that already exists (vehicle menu > Edit), not when creating it. And only accounts with DriveIQ in their plan have it. Without DriveIQ you can still run the RAG report in Reports.

I clicked Generate and nothing downloads: what is happening with my report?

Your report is being prepared. When you click Generate, at the top of the Reports window the notice «Your report is in the download queue. It will download by itself when it is ready; there is no need to press «Generate» again.» appears. Wait with the panel open: when the file is ready it downloads by itself and the notice changes to «Your report has been downloaded.». A report with many vehicles or many days can take several minutes.

Careful

Each user produces one report at a time. If you ask for another while the first one is still being made, you get «You already have a report being generated. Please wait for it to finish before requesting another one.»: wait for it to finish and click Generate again, only once. If you get «The report could not be generated. Please try again.», click Generate again.

How do I know where my vehicles lose signal?

With two reports in Reports: «Cellular signal (GSM)», for the mobile signal, and «GPS signal», for the GPS. In Type, type signal in Search report by word and both appear. They say, vehicle by vehicle, how long it had good or bad signal, how many communication gaps there were and where. If almost all the vehicles that pass through a place fail there, it is the coverage of the area; if only one fails, check that device.

The history shows too many short stops, or not all of them: how do I change that?

With the Stops field in History. Click History in the top bar: next to Device, From and To there is Stops, which comes set to «> 3 min». It is how long the vehicle has to stand still for the history to count it as a stop. Choose a longer time so short stops do not show, or lower it to «> 1 min» so they all show (for example, for deliveries), and click Show history.

Which GPS devices read the engine fault codes (DTC)?

Only the ones that connect to the vehicle's computer, through the OBD II port or the CAN network. Basic tracking GPS devices (location, speed and ignition) do not read the engine. Teltonika: FMC003 (4G, plugs straight into the OBD II port, the recommended one), FMB003 (2G, straight into OBD II) and FMB001 (straight into OBD II, older model); FMB120, FMB125, FMB130 and FMB920 with an additional Bluetooth OBD II reader; FMB140 and FMC150 through the CAN network, for fleets and trucks, installed by a technician. Other brands: Queclink GV500MA (straight into OBD II), Ruptela FM-Eco4 and similar (OBD II or CAN) and the Jimi/Concox OBD models (confirm the model before buying it). Reading the codes on the platform is being implemented: there is no screen that shows them yet.

See it step by step in the manual
How do I configure a Teltonika FMC003 to send the engine fault codes?

With the Teltonika Configurator program, over USB. In the GPRS section type the SIM's APN and, in the server data, Domain: gps.gpssoftwarenumberone.com, Port: 6027 and Protocol: TCP. In System choose Data Protocol: Codec 8 Extended (without it the codes do not arrive). In OBD II set Number of DTC and Fault Codes to Low priority, and click Save to device. Then create the unit on the platform with the device's IMEI (you do not have to choose a protocol), plug the device into the OBD II port, turn on the vehicle and wait for the first report. The step by step is in the manual, in the section «Engine fault codes». The screen that will show the codes is still being implemented.

See it step by step in the manual
Where do I see the engine fault codes, for example P0300?

Not on any platform screen yet: reading fault codes is being implemented. To get ready, install a compatible device and configure it as the manual explains in the section «Engine fault codes». Meanwhile, a workshop scanner reads the code. For reference, P0300 is the standard code for random or multiple cylinder misfire: the engine is not burning the fuel properly in one or more cylinders. Take the vehicle to the workshop, especially if the engine light is flashing.

The certificate of operation

How do I get the certificate of operation for my vehicle?

You get it yourself, there is no need to ask for it by phone. In the vehicle list, click the last icon in the vehicle's row to open its menu and choose Certificate. A window opens where you choose the month to certify and, if you need it, who it is addressed to; click Generate and download and the document comes down as a PDF. If Certificate does not appear in that menu, your provider has not switched the document on yet.

See it step by step in the manual
Can I download the certificate from my phone?

Yes. Open the vehicle list on your mobile, tap the last icon in the vehicle's row, tap Certificate and the window fits on the screen. It is generated and downloaded right there, just like on a computer, and it is stored with its reference number.

See it step by step in the manual
How do I know a certificate is genuine?

Every certificate carries its own number and a QR code. Scan the code with your phone camera: a page opens saying whether the document is genuine and how long it is valid for, with the vehicle and the certified period. No account and no sign-in are needed. That page answers with what is in the system at that moment, so if the certificate has already expired it says so, even though the printed paper still looks the same.

See it step by step in the manual
Can I get a single certificate for several vehicles or for a whole company?

Yes. In the same window you can tick several vehicles and a single document comes out with all of them in an annex. And if the vehicles are grouped into a company, you can ask for the certificate in the name of the whole company instead of vehicle by vehicle.

See it step by step in the manual
How do I set up the certificate template for my customers?

Go into Certificate in the top bar. There you enter your company details, upload the logo, the signature, the stamp and the watermark, write the text of the document and decide which lines are printed and which are not. The sheet on the right changes as you go, and below it, under «Sheets that will be printed», is the real document. You set it up once: from then on each customer downloads their own. While the template still holds the example data, the certificate is not offered to your customers.

See it step by step in the manual
My certificate comes out on two sheets. How do I get it onto one?

Three things take room away from the text: the margin, the font size and the blocks you have switched on. Reduce the margin in the top bar (from 30 mm to 15, or from 15 to 7), drop the font size by one point, or switch off a block that repeats what the text already says, such as the letterhead or the data tables. Check the result under «Sheets that will be printed», which is the real document and tells you how many sheets there are.

See it step by step in the manual
What are the {placa}, {emisor} or {identificacion_cliente} tags in the text for?

They are gaps the system fills in on its own when each certificate is generated, so you do not have to write the document by hand every time. You insert them by clicking them below the text. Watch out for two pairs that look alike: {emisor} and {nit_emisor} are YOUR company, the one signing the document; {empresa_titular} and {identificacion_cliente} are those of the customer's company being certified. If a piece of data does not exist, the whole sentence it was in is removed and no gap is left.

See it step by step in the manual
Where does my customer ask for their certificate, and what do they see?

Your customer does not have to ask you for it. In their vehicle list, the last icon in the vehicle's row opens a menu, and Certificate is there. A window opens where they choose the vehicle (if they came in from the vehicle menu it is already filled in), the month to certify and, if they need it, who it is addressed to; they click Generate and download and the PDF comes down to their device, with its reference number. They can tick several vehicles so that a single document comes out with all of them in an annex, or ask for it in the name of a whole company. It works the same from a phone. If your customer cannot see the Certificate option, it is because your template still holds the example data: until you replace it with your own, the certificate is not offered to anybody.

Sharing, mobile app and other applications

How do I share a vehicle location with a customer?

In the left panel, click the last icon in the vehicle row (it opens the vehicle menu) and choose Share. Decide how long the link is valid (None, by Duration or until a Date), confirm which vehicles it includes and click Save. Then, in the Sharings part of that same window, you will find the address to pass on to your customer.

Careful

Anyone holding that address sees the vehicle while the link is valid. Treat it like a key.

See it step by step in the manual
How long does a shared location link last?

You decide when creating it: None, and then it never expires; by Duration, from 1 minute up to 24 hours; or until a specific Date that you set. You can also ask for the link to delete itself when it expires.

Careful

With the None option the link keeps working forever until you delete it.

See it step by step in the manual
Where do I download the mobile app?

In your phone app store, searching for the name of your platform: each platform publishes its app under its own brand, so there is no single name. If you cannot find it, ask support for the exact link.

Can I share the location of several vehicles at once?

Yes. In the Share window, the Devices field accepts several vehicles, and it even has Select all. They will all be shown on the same map of the link.

See it step by step in the manual
What can a driver do from the mobile app?

What the app allows depends on the version of the app installed. What is fixed in the platform is what each person sees: a User account only sees the vehicles you handed to them, and cannot see or create other people's accounts.

See it step by step in the manual
How do I get to the ecosystem applications?

Click the application launcher (on the top bar): it opens with all the applications you have. From there you also reach the «My users' apps» screen, which is where you decide which applications each of your users sees.

Vehicle icon: categories and custom icons

How do I upload a custom icon for my vehicles?

It is uploaded from the vehicle record: the vehicle’s options menu → Edit → Icons tab. On the left there is a list with “Icon Type” and, below it, “Category”; at the bottom of that list, always visible, is “Custom icons”. Clicking it opens the form: choose whether it will be a plain “Icon” (fixed) or a “Rotating icon” (turns to match the vehicle’s direction), choose the vehicle’s category (motorcycles, trucks, buses, etc.) and click “Choose File” to pick the image. The file must be a PNG with a transparent background, between 32×32 and 128×128 pixels, and no larger than 512 KB. Click “Upload icon”. The icon is saved and appears right away in the catalog, grouped under “Custom icons”; from there it can be selected for that vehicle like any factory icon.

  1. Open Objects and, on the vehicle's row, click its options menu and then “Edit”.
  2. In the menu on the left of the Edit window, click “Icons”.
  3. In the list on the left, scroll down to the bottom and click “Custom icons”.
  4. Choose the type: “Icon” or “Rotating icon”.
  5. Choose the vehicle's category in the second dropdown.
  6. Click “Choose File” and pick the PNG file (transparent background, 32 to 128 pixels per side, 512 KB maximum).
  7. Click “Upload icon”. The window reloads and the icon already appears in the catalog, inside “Custom icons”.
Careful

If the file is not a PNG, does not have a proper transparent background, is smaller than 32 or larger than 128 pixels, or weighs more than 512 KB, the panel rejects the upload and says so next to the button.

See it step by step in the manual
Why can’t I see the option to upload a custom icon?

That function is not enabled on your account. In the Icons tab you still see the full catalog organized by category (motorcycles, trucks, buses, etc.), and you can also use on your vehicles any custom icon already loaded on your platform; the only thing not available from your account is UPLOADING or DELETING a new icon. If you need that option, contact your platform's technical support.

Why can’t I see the option to upload a custom icon?

Your account does have this function enabled. Go to the vehicle record → Edit → Icons tab: in the list on the left, at the bottom, always visible, is the “Custom icons” shortcut. If you do not see it, refresh the page (F5) and check that you signed in with your own account, not a test account or the public demo account (that one does not have it).

Careful

Only icons you uploaded yourself can be deleted, never factory icons nor ones uploaded by another account.

Languages

How do I switch the app to English or Portuguese?

Every app can be used in Spanish, English and Portuguese, and the change is instant: you do not have to sign out and back in. The control is at the top right, though it does not look the same in every app, and on a phone some apps keep it inside the menu.

  1. Look at the top right corner of the screen.
  2. In most apps you will see a small list showing ES, EN or PT: pick the one you want.
  3. In some you will see a little flag: click it and the languages drop down.
  4. In others it is a button showing ES, EN or PT that cycles through them each time you press it.
  5. On a phone, if you cannot see it at the top right, open the menu (the three-line button): inside there is a Language row.
  6. The screen translates itself on the spot. Your choice is remembered for next time.
I changed the language but part of the screen is still in Spanish, why?

Almost always because that part is not the app: it is your own text. The app translates its own buttons and labels, but it never touches what you wrote, because it is your information and changing it would be a mistake.

  1. The names of your vehicles, groups and drivers stay exactly as you wrote them.
  2. The forms you built and their questions (for example “Lights”, “Brakes”, “Insurance”) are yours too: they stay as they are.
  3. If what is still in Spanish is a button or a label belonging to the app itself, that is a fault: tell us and we will fix it.
Is the manual for each app available in my language?

Yes. All 23 apps have their manual in Spanish, English and Portuguese, and it is not only the text: the screenshots were taken in each language too, so what you see in the manual is what you see on your screen.

  1. Open the manual from the Manual button inside the app itself.
  2. On a phone that button may be a book icon in the top bar, or it may sit inside the “More” menu.
  3. There is a language selector at the top right of the manual.
  4. The manual opens in the language you have set in the app.
Somebody sent me a link to the manual in English and it opens in Spanish

That used to happen until 25 August 2026 and it is now fixed. The manual remembered the language you had chosen once and ignored the language the link asked for. Now the link wins: if someone sends you an English link, it opens in English.

  1. If it happens again, try reloading the page.
  2. Inside the manual you can always change the language with the selector at the top right.
Can I fill in the inspection in English or Portuguese?

Yes. Until 25 August 2026 the screen where the driver fills in the inspection existed only in Spanish; it now has its own language selector at the top right, next to the Inspection form title.

  1. Open the inspection you are going to fill in.
  2. At the top right of the form bar, choose ES, EN or PT.
  3. The labels (Plate, Vehicle name, Driver, Group, Save) change straight away.
  4. The questions in your form stay as you wrote them: they are yours.
What languages is the platform available in?

Spanish, English and Portuguese, both the apps and their manuals. Some apps also offer French, German and Italian, but the three that are reviewed and complete are those.

  1. If your team works across several countries, each person can set their own language: the choice belongs to the user, not to the account.
Is the language I choose remembered?

Yes. When you pick a language with the control on screen, it is saved in that browser and next time you go straight in with that language.

  1. If you have not picked one, the app uses the language of your GPS software account.
  2. If your account does not say either, it uses your browser's language.
  3. And if it recognises none of them, Spanish.
